About this notice

This notice explains what happens to your personal data when you use this website, book or manage an appointment, or contact the clinic. It covers the details needed to arrange a visit, mobile verification and the way this website is measured.

It is written to be read alongside the Digital Personal Data Protection Act, 2023, in plain language rather than in legal terms. Where the two differ, the Act governs.

It does not cover the medical record the clinic creates once you are a patient. That is held separately, under the rules that apply to medical records and the professional duty of confidentiality your care is owed.

What we collect and why

The booking form and secure appointment-management links are the places on this website where you enter or retrieve personal details. The table below explains what the booking form asks for, why it is needed and where it is retained.

Keep the reason for visiting brief. It is copied to the appointment notes, but this website is not the clinic’s medical-records system. Records created during your care are kept separately under the rules that apply to medical records.

Who we share it with

Your details are shared only where they are needed to arrange and deliver your care, and only with the services that run the clinic’s booking and messaging. Nothing is sold, and nothing is shared for advertising.

When you book a live appointment, the details the appointment system needs — your name, mobile number, date of birth, gender, selected specialty and time — are sent to EKA Care, the clinic’s system of record for appointments. If you add a reason for visiting, it is sent as an appointment note. Your email address is not sent to EKA Care.

Mobile verification is handled by the clinic’s SMS verification service. The website stores a short-lived verification session so the booking can be tied to the number you verified; it does not store the one-time code itself.

If you separately opt in to WhatsApp messages, your phone number and the appointment logistics are handled by the messaging platform in order to deliver them. Those messages carry the time, the practitioner and, where available, a link to manage the appointment — never a diagnosis, a condition or a reason for your visit.

How we keep it safe

Details are sent over an encrypted connection, access is limited to the clinic staff who need it, and clinical detail is kept out of measurement and out of messaging by design rather than by policy alone.

A link that lets you reschedule or cancel an appointment is time-limited and can be withdrawn. Treat it like a password: anyone who holds it can see the appointment summary and request a change. The link itself carries no name, phone number or clinical information.

No method of storing or sending information over the internet is perfectly secure, and this notice does not claim otherwise.

Most websites cannot say the following three things. This one can, so it is stated plainly rather than buried.

Your rights, and how to use them

Every right below is one you can use today. Each is exercised the same way — write to the privacy contact, say which one you want, and the clinic will explain the steps and confirm when it is done. There is no charge, and you may be asked for enough information to find your record and to be sure it is yours.

1. See what is held about you

   Ask for a summary of what this website holds about you, and who it has been shared with

2. Correct or complete it

   Tell the clinic what is wrong, missing or out of date, and it will be put right

3. Have it erased

   Ask for the website’s booking record to be deleted before the 30 days are up

4. Withdraw your consent

   Say so, and the processing that rested on it stops. Withdrawing is meant to be as easy as agreeing was

5. Nominate someone

   Name another person to exercise these rights for you if you are unable to

6. Raise a grievance

   If an answer does not resolve the matter, say so to the same contact and it will be escalated

Cancelling an appointment is a different thing from a privacy request, and one does not do the other. Use the link in your confirmation message, or call the clinic on the number below. Withdrawing consent does not cancel a booking, and cancelling a booking does not withdraw consent.

Children and guardians

This website is not intended for children to submit their own details. If you are under 18, ask a parent or lawful guardian to make the booking for you.

Where a booking concerns a child, the details are used only to arrange and deliver that child’s care. They are never used for marketing, and no advertising is directed at children because none is directed at anyone.

Changes to this notice

When this notice changes, the revised version is published on this page with a new effective date. Where a change is significant, the clinic will take reasonable steps to bring it to your attention.

The version in force is the one published here at the time your details are processed.
